Ibiza Villa Check-In Etiquette: Times, House Tour, Tipping

Skip ahead — the office handles the rest

Check-in to an Ibiza luxury villa is not a hotel lobby experience. The house manager is waiting, the chef is plating something cold, and the next thirty minutes are choreographed. Here is what works on both sides.

Arrival window

Standard check-in is 16:00. The villa is fully turned by 15:00 (housekeeping leaves), pre-cooled by 14:00, and staff are in position by 15:30. Arriving at 15:00 means you walk into the last 30 minutes of preparation — not ideal. Arriving at 18:00 is fine but means the chef is plating the welcome dinner without you in the room.

The sweet spot is 16:30 – 17:30. Driver picks you up at the airport for a 30 – 50 min drive; you arrive when the villa is camera-ready and the cold drinks are at temperature.

The house tour

Lasts 15 – 20 minutes. The house manager walks every room, the kitchen, the pool, the security panel, the wine cellar, and the outdoor areas. Listen for: water shut-off, the pool filter cycle (does it run when guests are swimming?), the AC manual override, the Sonos zones, the emergency contact number for after-hours.

Ask questions during, not after. The house manager will adjust the staff schedule based on what you say during the tour.

Meeting the staff

By name. The chef, chief steward, housekeeper, gardener, pool maintenance, driver, security. Most Ibiza staff speak English well; some speak only Spanish or Ibicenco — the house manager handles translation if needed. First names work, not titles.

Tipping convention

End-of-week tipping is industry standard. The convention for a 7-day villa stay is 5 – 10 % of the villa rate, paid as a single envelope to the house manager who splits across staff. Roughly:

  • Chef: 30 – 35 %
  • House manager: 25 %
  • Housekeeping team: 20 – 25 %
  • Gardener / pool / security: 10 – 15 % combined
  • Driver: typically tipped separately (5 – 10 % of the driver fee, paid weekly)

What you do NOT do

  • Tip individual staff during the week. It breaks the split.
  • Hand cash at first introduction. The convention is end-of-week.
  • Move furniture or break the property setup for an event without filing through the office.
  • Use the staff for personal shopping outside the villa (groceries inside, gifts outside — that's the concierge desk's remit).

The end-of-week handover

Check-out is 11:00 standard. House manager walks the property with you 30 minutes before — confirms no damages, confirms the deposit release. Cash envelope changes hands with thanks. Driver is at the gate. Bags go to airport, the chef sends a final breakfast box for the road.
