Skip ahead — the office handles the rest

The hours before you arrive at an Ibiza villa are the hours that decide whether the first evening is calm or a scramble. A well-prepared villa is fully provisioned, turned, scented, with cold drinks in the fridge and the AC pre-cooled three hours before your driver pulls in. A badly-prepared villa is a list of things you do yourself with a suitcase still in the hall.

What the office handles 14 days out

  • Provisioning list confirmation: groceries, alcohol, specialty items (the children's cereal nobody can find in Sant Antoni, the specific gin, the espresso pods for your machine)
  • Chef rotation: which nights aboard, which on-the- road, which shore restaurants are booked
  • Driver matching: number of cars based on group size, accessibility (Ibiza Town parking is impossible mid- August; multiple smaller cars beat one Sprinter)
  • Helicopter or boat transfer schedule if connecting flights are tight
  • Spa, tennis, gym, yoga teacher availability

What arrives the morning of check-in

  • Cold provisioning (00:00 perishables window)
  • Florals: arrival arrangement on the kitchen island, a smaller bedroom bouquet for the master, table setting for the welcome dinner
  • Welcome pack: a printed itinerary for the week, the house manager's direct number, the chef's menu plan, beach club confirmations
  • Lemons in the bathrooms (a small luxury detail; the villa staff cuts them fresh)

What the house manager does in the final 2 hours

By T-2 hours, the pool is at temperature, the AC is set at 22 °C across the house with master suites at 21 °C, the music is queued (Sonos in the kitchen and living area), and the welcome aperitif is plated. The house manager stands at the gate when the cars arrive.

What you handle at the gate

Almost nothing. Passport stamps on arrival happen at the airport, not at the villa. The house manager hands over the welcome pack on the kitchen island while the porter carries bags to rooms. The first 15 minutes are designed to be empty.

How to make the prep work for you

Send the office a one-page list 7 days before: provisioning preferences (brand of bread, type of milk, coffee, butter, oils), specific allergies, kids' rooms with their preferences (a Lego set, swim armbands), and a music brief for the welcome moment. The office prepares; you arrive to a house that already knows your week.
